Capturing information on employees:
Employees’ List Import/Export Function #25
Thanks to technological evolution and ever increasing improvement within companies in that regard, it is usual to have access to a list of employees’ files in either Excel or ASCI format.
In order to capitalize on these increasingly available electronic databases, a privileged platform in Allegroupe enables to capture this information and then to import them in Allegroupe. To do so, Allegroupe offers two formats, two different templates. The first one is a full template, and the second one, a template for RFP's element only. They enable you to capture various fields of information in different columns based on the attributes which were properly entered into the RFP's file or the completed template file.
Once you have selected the appropriate template corresponding to your needs, C-surance will automatically insert a copy of this template on your local disc. The operator will be able to open this file to add or copy the relevant information. He can save the result of this file under a different and specific name so it can be easily identifiable when the time comes to import it in Allegroupe. This template can also be transmitted to the customer who can capture it directly and retransmit it to the advisor.
It will be the operator’s responsibility to capture the right information fields or using the copy/paste functions in order to convert certain fields which reflect the standard requirements enabling C-surance to transfer or simply import the information.
Once the operator has successfully completed his Excel file, he then will be able to request an import option. On this instant, C-surance will open a dialog box which includes all the various external files so to find the relevant file that can be imported within your database.
This will enable the operator to select from the available databases. This is why a specific file name is so very important as it prevents any erroneous interpretation and the import of the wrong file in the database.
Always consistent with C-surance’s mission to provide continuous simple, efficient tools and, ideally, ones which are as intuitive as possible, Allegroupe regularly supply dialog box enabling you to easily identify the necessary step and process required for this specific moment.
Now that we have completed the import of data, it is then possible to check the information directly on the screen.
If needed, the operator can always add or modify the information or even use the blank field automatic fill function by choosing the default value option.
In order to prevent human errors or inattentions as much as possible, Allegroupe will offer validation management modules at various locations. For example, Allegroupe’s synchronization module will enable validation if we have mistakenly captured twice one or many files.
Once the information has been totally captured inside the editing module used, it will be much simpler to transfer it directly to Allegroupe. To do so, we use the “Export to Allegroupe” option by selecting the item “in Allegroupe” and then ask to execute the request.
Again, in order to prevent human errors, Allegroupe recommends that those data be synchronized with its data so to prevent the import of databases in which there could be doubles.
Proper execution of each step will give you access to the imported employees’ list that could be found at the bottom or the end of the existing files.
